This Privacy Policy describes how Automaani ("Automaani", "we", "us", or "our") collects, uses, stores, and protects information when you visit automaani.com (the "Site") or engage us for our services.

2. Information we collect

We collect information in three ways:

a) Information you give us directly. When you book a demo, contact us, or engage our services, you may provide: your full name, email address, phone or WhatsApp number, company or business name, the services you're interested in, your preferred meeting date and time, and any project details you share in the message field or in subsequent communication.

b) Information collected automatically. When you browse the Site, we and our service providers may automatically collect: your IP address, browser type and version, device type, operating system, referring URL, pages viewed, time spent on pages, and approximate location derived from your IP. This is collected through cookies and similar technologies.

c) Information from third parties. If you reach us through a referral, a social platform, or a shared meeting link, we may receive limited information from those services (such as your name and email) to fulfil the interaction you initiated.

3. Why we collect it

We use the information we collect to:

  • Respond to demo bookings, enquiries, and support requests.
  • Schedule and conduct consultation calls and project meetings.
  • Deliver, maintain, and improve the services you have engaged us for.
  • Send you project updates, invoices, and operational communications.
  • Send you occasional updates about our services (only if you've opted in).
  • Comply with our legal, tax, and regulatory obligations under Nepali law.
  • Detect, prevent, and respond to fraud, abuse, or security incidents.
  • Improve our Site's performance and content based on aggregated usage patterns.

4. Legal basis for processing

Where applicable (including for clients located in jurisdictions with data protection laws such as the EU's GDPR), we process your personal data on one or more of the following bases:

Your consent (for marketing communications and non-essential cookies)

Performance of a contract (to deliver services you've engaged us for)

Legitimate interests (to operate, secure, and improve our business in ways you would reasonably expect)

Legal obligation (where Nepali law requires us to retain or disclose information)

5. How we share information

We do not sell your personal information. We share it only in limited circumstances:

With service providers who help us operate (e.g. email delivery services such as Resend, hosting providers, calendar tools, analytics tools, payment processors). These providers are contractually bound to handle your data confidentially and only for the purposes we instruct.

With your explicit instruction (for example, if you ask us to integrate a third-party service into your project, we may share relevant credentials or data with that service on your behalf)

For legal reasons (if required by law, court order, or to protect the rights, property, or safety of Automaani, our clients, or the public)

In a business transfer (if Automaani is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Policy)

6. International transfers

Some of our service providers (e.g. email, hosting, analytics) operate outside Nepal. Where your data is transferred internationally, we take reasonable steps to ensure it remains protected to a standard consistent with this Policy.

7. Data retention

We retain personal information only as long as needed for the purposes described above, or as required by law.

  • Demo and enquiry submissions: up to 24 months from last contact, unless you become a client.
  • Client records: for the duration of our engagement plus 7 years thereafter, in line with Nepali tax and contractual record-keeping norms.
  • Marketing contacts: until you unsubscribe or request deletion.
  • Server logs and analytics: typically up to 12 months.

You may request earlier deletion at any time (see Section 9).

8. Cookies and tracking

We use cookies and similar technologies for three purposes:

Strictly necessary (required for the Site to function, e.g. form submission, security)

Performance (to understand how the Site is used in aggregate, e.g. via privacy-respecting analytics)

Preference (to remember your choices, e.g. language, region)

You can disable cookies in your browser settings, but parts of the Site may not work correctly without them. We do not currently use third-party advertising cookies.

9. Your rights

Subject to applicable law, you have the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or incomplete.
  • Delete your information ("right to be forgotten"), subject to our legal retention obligations.
  • Restrict or object to certain processing.
  • Withdraw consent at any time, where processing is based on consent.
  • Receive a copy of your data in a portable format.
  • Lodge a complaint with the relevant data protection authority in your jurisdiction.

10. Security

We use reasonable administrative, technical, and physical safeguards to protect your information, including encryption in transit (HTTPS), access controls, and secure infrastructure providers. However, no internet transmission or storage system is 100% secure, and we cannot guarantee absolute security. If we become aware of a breach that materially affects you, we will notify you and the relevant authorities as required by law.

11. Children

The Site and our services are not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with information, contact us and we will delete it.

12. Third-party links

The Site may contain links to third-party websites or services. We are not responsible for their content or privacy practices. Review their own policies before sharing information.

13. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top. Material changes will be communicated through a notice on the Site or by email where appropriate. Your continued use of the Site after changes take effect constitutes acceptance of the updated Policy.
